Agreement to Terms
By accessing or using SortedMate, you agree to be bound by these Terms of Service. If you disagree with any part of the terms, you may not access our service. These terms should be read alongside our Privacy Policy, Acceptable Use Policy, and Data Processing Terms.
Description of Service
SortedMate provides a workflow management platform for tradespeople, including enquiry management, quote creation, job tracking, invoicing, SMS and WhatsApp messaging, calendar integration, accounting sync, and AI-powered features. The service is available via web app, mobile app (iOS/Android), and Chrome extension. We reserve the right to modify or discontinue features with reasonable notice.
Your Account
Registration
To use SortedMate, you must create an account with accurate information and keep it up to date.
Security
You are responsible for maintaining the security of your account credentials and all activity under your account.
Age Requirement
You must be at least 18 years old to create an account and use our service.
One Account
Each person or business should maintain only one account. Creating multiple accounts may result in termination.
Acceptable Use
You agree to use SortedMate responsibly and lawfully. The following activities are prohibited:
Unlawful Activity
Using the service for any unlawful purpose or to violate any laws
Unauthorised Access
Attempting to gain unauthorised access to any part of the service or other systems
Service Disruption
Interfering with or disrupting the service or servers connected to it
Malicious Content
Uploading malicious code, viruses, or content that infringes others' rights
Spam & Abuse
Using the service to send spam, unsolicited messages, or harass others
Reverse Engineering
Attempting to reverse engineer, decompile, or extract source code from the service
Your Data
You Own Your Data
You retain ownership of all data you enter into SortedMate. We do not claim any intellectual property rights over your content. You grant us a licence to host and process your data solely to provide the service.
Data Export
You can export your data at any time in standard formats. We provide tools to help you take your data with you.
Data Deletion
You can request deletion of your data at any time. Upon account deletion, your data will be permanently removed.
Backups
We maintain regular backups to protect against data loss, but recommend you also keep your own copies of important data.
Privacy
Your data is handled in accordance with our Privacy Policy.
Payment & Billing

Free Trial
We offer a free trial period so you can try SortedMate before committing to a paid plan. During the trial:

After your trial ends, you'll need to choose a paid plan (starting from 99p/month) to continue using premium features. If you don't subscribe, your account will be limited but your data will be preserved.
Cancellation
You may cancel your subscription at any time. Upon cancellation, you will retain access until the end of your current billing period. Your data will be preserved.

Your Right to Cancel
14-Day Cooling-Off Period
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have 14 days from the date of purchase to cancel your subscription for a full refund, without needing to give a reason.
To exercise your right to cancel, contact us at legal@sortedmate.com with a clear statement of your decision to cancel. We will process your refund within 14 days of receiving your cancellation request using the same payment method you used for the original purchase.
If you have requested that the service begin during the cancellation period and you then cancel, you may be required to pay for the service provided up to the point of cancellation on a pro-rata basis.
Payment Processing (SortedPay)
Overview
SortedPay is an optional feature that enables you to collect payments from your customers through your SortedMate invoices. Payment processing is provided by Stripe Payments UK Ltd (“Stripe”) via Stripe Connect. SortedMate acts as a platform facilitator — we do not process, hold, or control customer funds at any point.
Stripe Connected Account
To use SortedPay, you must create a Stripe connected account. By enabling SortedPay, you agree to be bound by the Stripe Connected Account Agreement, which is a direct agreement between you and Stripe. You authorise SortedMate to share your business information with Stripe for the purpose of creating and managing your connected account.
Data Sharing Consent
As a condition of SortedMate enabling payment processing services through Stripe, you agree to provide SortedMate with accurate and complete information about you and your business, and you authorise SortedMate to share it and transaction information related to your use of the payment processing services provided by Stripe.
Acquirer Disclosure
Payment processing services for connected accounts on SortedMate are provided by Stripe Payments UK Ltd. For full acquirer disclosure information, see Stripe's Acquirer Disclosure.
Payment Collection
When your customer pays an invoice via SortedPay, the payment is processed as a direct charge on your Stripe connected account. Your customer will see your business name on their bank or card statement. Funds are settled to your connected Stripe account and paid out to your nominated bank account according to Stripe's standard payout schedule.
Fees
Stripe's standard card processing fees apply to all SortedPay transactions (currently 1.5% + 20p for UK domestic cards). These fees are deducted from each transaction by Stripe before settlement. SortedMate does not currently charge an additional platform fee on SortedPay transactions. If we introduce platform fees in the future, we will provide at least 30 days' notice.
Refunds and Disputes
Refunds are managed through your Stripe Express Dashboard. When a customer disputes a payment (chargeback), the disputed amount may be withdrawn from your Stripe connected account. You are responsible for responding to disputes and providing evidence. SortedMate will notify you of disputes but is not liable for dispute outcomes or associated fees.
Account Suspension and Disconnection
SortedMate reserves the right to suspend or disable your SortedPay access if we reasonably believe your account is involved in fraudulent, illegal, or prohibited activity. Stripe may independently suspend your connected account based on their own policies. You may disconnect your Stripe account from SortedMate at any time via your Stripe Dashboard — existing in-flight payments will complete but no new payments will be processed.
Limitation of Liability for Payments
SortedMate is not responsible for: (a) Stripe service outages or payment processing failures; (b) funds held, frozen, or reversed by Stripe; (c) chargebacks, disputes, or fraud losses on your connected account; (d) delays in payouts to your bank account. Our total liability in connection with SortedPay shall not exceed the fees (if any) paid by you to SortedMate for SortedPay in the 12 months preceding the claim.
Liability & Legal
Service Availability
We strive to maintain high availability but do not guarantee uninterrupted access. We may perform maintenance with reasonable notice. We are not liable for any downtime or service interruptions.
Limitation of Liability
Nothing in these terms excludes or limits our liability for: (a) death or personal injury caused by our negligence; (b) fraud or fraudulent misrepresentation; or (c) any other liability that cannot be excluded or limited by English law.
Subject to the above, SortedMate shall not be liable for any indirect, incidental, special, consequential, or punitive damages resulting from your use of the service. Our total liability for all other claims shall not exceed the amount you paid us in the 12 months prior to the claim.
Your Consumer Rights
If you are a consumer, nothing in these terms affects your statutory rights under the Consumer Rights Act 2015. Where any provision of these terms conflicts with your statutory rights, your statutory rights will prevail. For more information about your consumer rights, visit Citizens Advice.
Indemnification
You agree to indemnify and hold harmless SortedMate from any claims, damages, or expenses arising from your use of the service or violation of these terms.
Intellectual Property
SortedMate and its original content, features, and functionality are owned by SortedMate Ltd and are protected by international copyright and trademark laws.
Termination
We may terminate or suspend your account immediately, without prior notice, for serious breaches of these terms including unlawful activity, unauthorised access, or conduct harmful to other users or third parties. SortedMate reserves the right to verify connected accounts and suspend access to SortedPay for accounts involved in fraudulent or suspicious activity. For other breaches, we will provide 14 days' written notice and an opportunity to remedy the breach before termination.
Governing Law
These terms shall be governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
General Terms
Force Majeure
We shall not be liable for any failure or delay in performing our obligations where such failure or delay results from circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, war, terrorism, power failures, internet or telecommunications failures, or cyberattacks.
Dispute Resolution
If you have a dispute with us, we encourage you to contact us first at legal@sortedmate.com so that we can try to resolve it. In accordance with the Alternative Dispute Resolution for Consumer Disputes (Competent Authorities and Information) Regulations 2015, we are required to inform you that alternative dispute resolution (ADR) is available. We are willing to engage with an ADR provider to resolve disputes. If you are an EU consumer, you may also use the EU Online Dispute Resolution platform at ec.europa.eu/odr.
Complaints
If you are dissatisfied with any aspect of our services:

- 5As a final recourse, you may contact the Information Commissioner's Office for data-related complaints, or use the EU Online Dispute Resolution platform for general service complaints
Severability
If any provision of these terms is found to be invalid or unenforceable by a court of competent jurisdiction, that provision shall be amended to achieve as closely as possible the intended effect, and the remaining provisions shall remain in full force and effect.
Entire Agreement
These terms, together with our Privacy Policy, constitute the entire agreement between you and SortedMate regarding your use of the service and supersede all prior agreements and understandings.
Assignment
We may assign or transfer our rights and obligations under these terms (for example, in connection with a merger, acquisition, or sale of assets) without your consent, provided that your rights under these terms are not diminished. You may not assign your rights or obligations without our prior written consent.
Changes to Terms
We may modify these terms at any time. We will notify you of material changes via email or through our service at least 30 days before they take effect. Continued use after changes constitutes acceptance of the new terms.
