Every quote, job, invoice and message, on one record

When Hannah rings about the socket you fitted last spring, you want to know what you quoted, what you charged and what she paid before she's finished the sentence. A customer record in SortedMate is exactly that: the details, the addresses and the whole history, on tabs, on your phone.

Hannah Whitfield

Domestic

27 Nether Edge Road, Sheffield, S7 1RU

Add a customer. This is Hannah's record in a sample electrical business. Have a look round the tabs, then add a new customer of your own in 3 short steps.

In the demo, try this

A new customer rang. Add them in three quick steps.

What happens: Saved. Every quote, job and invoice for this customer now lands in one record.

  1. Go to Customers and press New Customer.
  2. Fill in a name, a way to contact them and an address, then save.

How it works

One record, the whole history

01

Domestic or commercial

A domestic customer is a person and an address. A commercial one is a business, and business search fills in the company details so you're not typing a registered name off an email signature. Both get the same record, with billing and site addresses kept separate and extra sites for when the work is spread about.

02

Three steps to add one

Core Details is the name and how to reach them. Address Details is where they live or trade and where the work is, if that's different. Marketing Preferences is whether you're allowed to message them about anything other than their job. Three screens, from your phone, while you're still on the call.

03

Quotes, Jobs, Invoices, Comms

The record has 4 tabs. Quotes shows every quote and its status. Jobs shows the work, done and booked. Invoices shows what's been billed and what's still owed. Comms shows the messages. Above them: customer since, last updated, and a notes box for the things that don't fit anywhere else, like the dog's name and where the key is.

04

Consent, kept properly

Marketing consent flags live on the record, so you know who's said yes to hearing from you and who hasn't. When a customer moves away, archive them; the history stays put and you can restore them if they come back.

FAQ

Questions, answered straight

If yours isn't here, email hello@sortedmate.com and a person will answer it.

Do I have to add customers before I quote?
No. Convert an enquiry and the customer record is created for you. Start a quote for someone new and you add them in the first step, Customer details. Adding one directly is for when someone rings and you want them on file before anything else happens.
What's the difference between a billing address and a site address?
Billing is where the invoice goes; site is where the work is. For most domestic customers they're the same. For a landlord with 3 flats, or a business with a head office and a shop, keep them separate and add extra sites so every job goes to the right door.
Can I keep track of who's happy to hear from me?
Yes. Marketing Preferences is the third step when you add a customer, and the consent flags stay on the record, so you can see at a glance who's said yes and who'd rather you didn't.
What happens if I delete a customer?
You archive them rather than delete, so the quotes, jobs and invoices tied to them stay intact for your records. Archived customers drop out of the main list. If they come back, restore them and everything's where you left it.
How many customers can I have?
Starter, the free plan, includes 10 customers. See the pricing page for what Solo, Crew and Firm include.
