Forward the WhatsApp, get a lead on the board

Customers message you at 9pm with a photo of a fuse board and 'how much for this?'. Forward it to Sorted, the assistant in your enquiries inbox, and it comes back as an enquiry with a name, a phone number, an address, the work they want and a rough value. Checked against your service area before you've put the phone down.

Catch the lead. This is the enquiries inbox of a sample electrical business. Gemma messaged the business WhatsApp 40 minutes ago. Open her enquiry, read what the AI pulled out of her message, and turn it into a quote with one press.

In the demo, try this

Gemma messaged the business WhatsApp 40 minutes ago. SortedMate has already turned it into an enquiry.

What happens: One tap and the lead is a customer with a draft quote, scope pre-filled from her own words.

  1. Open Gemma Foster's enquiry in the Enquiries inbox.
  2. Read what the AI pulled out of the message, then press Create Quote.

How it works

From a message to a lead in 4 moves

01

Three ways in, one inbox

Forward a WhatsApp message to Sorted and it lands in Enquiries with the customer's own words attached. Type or paste a note into Quick Capture when someone rings. Enquiries from your website form arrive the same way. Whatever the route, it's one list, newest at the top, and nothing is living in a screenshot on your phone.

02

The AI does the typing

Each enquiry is read for a name, phone number, address and postcode, the work items mentioned, how urgent it sounds, a preferred date and an estimated value. Every field carries a confidence score, so you can see what was said outright and what was inferred, and fix anything it got wrong in a tap.

03

Is it in your patch?

Set your service area as a radius in miles from your base; 30 is the default. Every enquiry with an address gets a badge: In area, Outside area with the distance (14mi, say), or Verify address when the details don't add up. You decide whether the trip is worth it before you reply, not after you've driven there.

04

New, Triaged, Converted, Closed

Enquiries move through 4 statuses. New ones need a look. Triaged ones you've read and decided on. Converted ones became a quote or a job with one tap. Closed ones carry a reason, so when the same customer comes back in 6 months you know why you passed the first time.

Details that matter

The small things you'd otherwise find out the hard way

  • Forward a WhatsApp to Sorted and it's captured with the customer's original message
  • Quick Capture for typed or pasted notes when someone rings
  • Website form enquiries land in the same inbox
  • AI extracts name, phone, address, postcode, work items, priority, preferred date and estimated value
  • A confidence score on every extracted field
  • Service area check with a radius in miles, 30 by default
  • In area, Outside area with the distance, or Verify address
  • Statuses New, Triaged, Converted and Closed, with close reasons
  • One tap to a quote or a job, with the customer record created for you
  • New enquiry alerts by WhatsApp, SMS or email, with a fallback if the first doesn't get through

FAQ

Questions, answered straight

If yours isn't here, email hello@sortedmate.com and a person will answer it.

How does WhatsApp capture actually work?
You forward the customer's message from your phone to Sorted, the SortedMate assistant, the same way you'd forward it to a mate. It arrives in your enquiries inbox as a new enquiry with the original message attached, and the AI fills in the details it can find. Your customer doesn't need to do anything different.
What if the AI gets something wrong?
It happens, especially with a rambling message or a missing postcode. Every extracted field shows a confidence score, and you can edit any of them on the enquiry before you quote. Nothing goes to the customer until you've looked at it.
Does it work for enquiries that don't come from WhatsApp?
Yes. Quick Capture is a box you type or paste into, for phone calls and text messages. Enquiries from your website's contact form arrive in the same inbox. They all get the same extraction, the same service area check and the same statuses.
How do I find out about a new enquiry?
Pick how you want alerting: WhatsApp, SMS or email. You set a primary channel and a fallback, so if the first doesn't get through, the second one does. Starter, the free plan, includes 3 WhatsApp captures a month and Solo includes 20. The pricing page has the full breakdown for every plan.
What happens when I convert an enquiry?
One tap creates the customer record if they're new, then either a draft quote with the work items and the customer's own words pre-filled in the scope, or a job if you've already agreed the price. The enquiry is marked Converted and stays linked, so you can always see where the work came from.
