Itemised quotes, VAT done properly, sent before you've left the drive

A quote in SortedMate is 4 short steps: who it's for, what's in it, what you'll actually do, and your terms. Labour by the hour, the day or a fixed price. Materials from your own price book or straight from CEF and Screwfix. VAT worked out per line. Then a PDF and a share link the customer can open on their phone.

Send the quote. This is the quote builder, open on the Quote items step. Gemma's enquiry is already a draft quote. Add some labour and a couple of sockets, check the VAT, preview the PDF and send it to her.

In the demo, try this

Build Gemma's quote: some labour, a couple of sockets, VAT done for you.

What happens: Quote sent from the van in under two minutes, itemised, with VAT worked out per line.

  1. Start from Gemma's enquiry: press Create Quote (or open her draft quote if you already have).
  2. On the Quote items step, add labour (try 3 hours) and at least one material.
  3. Preview it, then send it to Gemma by WhatsApp or email.

How it works

Four steps from blank to sent

01

Four steps, no blank page

Customer details are filled from the enquiry or the customer record. Quote items is where the pricing happens. Scope of work is what you'll actually do, in plain English. Terms and conditions come from a template you set once. Most quotes never need more than the middle 2 steps touched.

02

Labour, materials, equipment and the rest

Labour is hourly, daily or fixed, with the total updating as you type. Materials come from your price book, or search CEF and Screwfix without leaving the quote. Equipment and misc covers the skip, the tower and the parking. Each line has its own VAT code, with your usual rate set as the default, and a quote-level discount is one field.

03

Show the customer as much as you want

Some customers want every socket listed. Some just want the number. Pick per quote: every line, totals by category, or one price. The PDF preview updates live, so you see exactly what they'll see before it goes anywhere. AI Enhance turns your scope notes into something a customer will understand.

04

Send it, then watch it

Send by email or WhatsApp, or copy the share link. You'll see when it's been viewed. Mark it accepted or rejected, or issue a revision if they want the outside light added after all. Numbering starts at Q-0001 with your own prefix, and quotes are valid for 30 days unless you change it.

FAQ

Questions, answered straight

If yours isn't here, email hello@sortedmate.com and a person will answer it.

Can I use my own rates and prices?
Yes. Your price book holds your labour rates and the materials you use most, so a quote for a consumer unit change is mostly picking from a list. For anything not in the book, search CEF or Screwfix from inside the quote and it comes through as a line.
How does VAT work on a quote?
Every line has a VAT code. You set the default for your business once and change individual lines when you need to, say for a zero-rated or reduced-rate item. The quote shows the net, the VAT and the total, so there's no working it out on the back of an envelope.
Can the customer see my markup?
Only what you choose to show. The 'customer sees' setting controls what's on the PDF: every line, totals by category, or one price. You build the quote the same way whichever you pick, so the detail is there for you even when the customer only gets the number.
How do I send a quote?
Preview the PDF, then send it by email or WhatsApp from the quote, or copy the share link and paste it wherever you're already talking to the customer. Once it's sent you'll see when it's been viewed, which tells you whether to chase or wait.
What if the customer wants changes?
Issue a revision. The original stays on file, so nobody's arguing about which version was which. When they say yes, mark it accepted and press Book In as Job. The scope and the materials come across to the job without retyping.
