Book it in, see the week, clock in on site

A job in SortedMate is the accepted quote carried forward: the scope, the materials and the customer, with visits on a calendar and a status the whole team can see. On site it's a phone-sized screen with the 5 things you need: what's happening now, the work, the parts, photos and notes, and who the customer is.

Book it in. This is the jobs calendar for a sample electrical business, on the week view. Gemma's replied 'go ahead'. Mark her quote accepted, press Book In as Job, and put a visit on tomorrow morning.

In the demo, try this

Gemma has replied 'Go ahead'. Mark the quote accepted, book the job and get it on the calendar.

What happens: Accepted quote became a job with the materials list copied across and a visit on the calendar.

  1. Open the quote and change its status to Accepted.
  2. Press Book In as Job.
  3. Schedule a visit for the job. Tomorrow morning works.

How it works

From accepted quote to job done

01

One tap from accepted quote to job

Press Book In as Job on an accepted quote and the job is created with the scope and the materials list copied across. No retyping, no second version of the truth. You can also start a job from scratch for the call-out that never had a quote.

02

The calendar the whole team sees

List, calendar and board views of the same jobs. The calendar has week, day, month and agenda views. Each visit has a start, an end and an assignee, so it's clear who's where. Drag a visit to reschedule it. Team roles run from Owner and Admin to Manager, Member and Viewer, so you decide who sees what.

03

Now, Work, Parts, Capture, Info

On site a job opens on 5 tabs. Now is today: clock in, clock out, what's next. Work is the scope. Parts is the materials list from the quote. Capture is before and after photos and notes. Info is the customer, the address and how to reach them. Big buttons, one hand, no digging through menus.

04

Notes that reach the right people

Four kinds of note: internal for the team, client for the customer, safety for anything the next person needs to know before they walk in, and completion for what was done. When it's finished, complete the job with the customer's signature on your phone, or without one if they've already left.

FAQ

Questions, answered straight

If yours isn't here, email hello@sortedmate.com and a person will answer it.

Can I see what everyone's doing this week?
Yes. The calendar's week view shows every visit with who it's assigned to. Switch to day for the detail, month for the shape of it, or agenda for a plain list. If Tuesday's job needs to move, drag it to Thursday.
What happens on site?
Open the job on your phone. Clock in on the Now tab. Take the before photos on Capture. Work through the scope on Work and check the materials list on Parts. Leave notes as you go. Clock out, take the after photos, and complete the job with a signature if the customer's there.
Do I have to quote first?
No. Most jobs start as an accepted quote because that saves the retyping, but you can create a job directly for a call-out or a small bit of work and invoice it from the job afterwards.
What are the job statuses?
Draft, Booked, In Progress, On Hold, Done, Invoiced and Cancelled. On Hold is for a job waiting on parts or the customer. Invoiced means the invoice exists, so the jobs still to bill are easy to spot in the list.
Can my team use it too?
Yes. Starter is 1 user, Solo is you plus 1 mate, Crew is 5 members and Firm is 15. Roles are Owner, Admin, Manager, Member and Viewer, so you choose how much each person can see and do.
