One tap from job to invoice to paid

Create the invoice from the job and the quote's lines are already on it. Set the terms, add a CIS deduction if it's subcontract work, send it. The customer gets a Pay Now link and can pay by card there and then, and the payment marks the invoice paid on its own. If it goes overdue, the dashboard tells you and the reminder is one tap.

Get paid. This is the invoices list for a sample electrical business. Callum finished the smoke alarms at Flat 6 three days ago. Invoice the job, send it with the Pay Now link, then watch what happens when Jack pays by card.

In the demo, try this

Callum finished the smoke alarms at Flat 6 three days ago. Invoice it and watch it get paid.

What happens: Job to invoice to paid, with the payment reconciled automatically and the dashboard updated.

  1. Open the smoke alarm job (JOB-00024) and press Create Invoice.
  2. Send the invoice. The Pay Now link goes with it.
  3. Press 'Simulate customer paying online' to see what happens when Jack pays by card.

How it works

From job done to money in

01

Start from the job, the quote or nothing

Press Create Invoice on a finished job and the lines come from the quote behind it. Invoice from the quote directly if the job was never scheduled, or start blank for a one-off. Set the invoice date, pick the terms (due on receipt, net 7, 14, 30 or 60; 14 is the default) and the due date is worked out for you.

02

CIS, VAT and your bank details

If you're a subcontractor under CIS, apply the 20% or 30% deduction to the labour and the invoice shows it properly, with the materials left alone. VAT comes through from the lines. Your bank details print on every invoice for the customers who'd rather do a transfer.

03

Pay Now, powered by Stripe

Every invoice can carry a SortedPay Pay Now link. The customer opens it on their phone and pays by card, and the invoice is marked paid and the payment reconciled without you touching it. Record other payments by hand: bank transfer, card, cash or cheque, in full or in part, and the status moves from Sent to Partially Paid to Paid as the money lands.

04

When it goes overdue

Statuses are Draft, Sent, Partially Paid, Paid, Overdue and Void, so the money you're owed is one filter away. Reminders go by email on paid plans, and by SMS as well on Crew and Firm. When the bookkeeper wants it, hand the invoice over to Xero or QuickBooks. Numbering starts at INV-00001 with your own prefix.

FAQ

Questions, answered straight

If yours isn't here, email hello@sortedmate.com and a person will answer it.

How does the customer pay online?
The invoice goes out with a Pay Now link. The customer opens it, sees the amount, and pays by card. Payments run through SortedPay, which is powered by Stripe, and the invoice is marked paid automatically, so there's no checking the bank app and ticking things off.
Can I take part payments?
Yes. Record a payment for any amount and the invoice shows Partially Paid with the balance still owed. Cash on the day and the rest by transfer is fine. Once the balance hits zero it's Paid.
Does it handle CIS?
Yes. If you're a subcontractor, apply the CIS deduction at 20% or 30% to the labour on the invoice. The materials aren't deducted and the totals come out right. The rate itself is yours to check with HMRC or your accountant; the invoice just gets the arithmetic right.
What about reminders for late payers?
When an invoice passes its due date it's marked Overdue and shows up on the dashboard. Email reminders are included on paid plans, and Crew and Firm can send them by SMS as well. Starter doesn't include reminders.
Does it work with Xero or QuickBooks?
Yes. Connect your Xero or QuickBooks account and hand invoices over, so your bookkeeper sees them where they already work. Native Making Tax Digital support is in development; until it ships, the hand-over to Xero or QuickBooks is the route.
